At Casewyze ("we," "us," or "our"), we understand that the foundation of the investigation, legal, and security industries is trust. We are committed to protecting the privacy and integrity of the information you entrust to our case management platform.
This Privacy Policy describes how Casewyze collects, uses, secures, and shares information when you use our public marketing website (www.casewyze.com) and our subscription-based case management platform (collectively, the "Services").
By accessing or using Casewyze, you agree to the practices detailed in this policy. If you do not agree, please discontinue use of the Services.
To ensure clarity, we distinguish between two types of data:
"Account Data": Information about you (the Subscriber or Authorized User). This includes your name, email, billing details, IP address, and login credentials. We control this data.
"Case Data": The confidential files, evidence, subject profiles, reports, and media you upload into the Casewyze platform to manage your investigations. You control this data; we process it on your behalf.
Registration Details: When you sign up, we collect contact details such as your name, agency/company name, email address, phone number, and professional license number (if applicable).
Billing Information: We collect payment data to process subscriptions. Note that sensitive credit card numbers are processed directly by our third-party payment provider (e.g., Stripe) and are not stored on Casewyze servers.
Communications: If you contact support or sales, we collect the content of those messages to assist you.
Usage Logs: To ensure system security and optimize performance, our servers automatically record information such as your IP address, browser type, operating system, referring URLs, and timestamps of your visits.
Mobile Device Data: If you use the Casewyze mobile app, we may access device identifiers and, with your explicit permission, precise geolocation data (GPS) to support features like investigator routing or time-stamped location logging for evidence.
You may upload sensitive text, images, video, and audio regarding third parties (subjects of investigations) into the system. We store this data strictly to provide the case management service to you.
We use your Account Data to:
Verify your identity and eligibility to use the platform.
Process payments and send invoices.
Communicate administrative notices, security alerts, and support responses.
Improve the user experience and feature set of the Services.
We use Case Data exclusively to:
Host, organize, and display your cases within your private portal.
Generate reports and analytics as directed by you.
Perform automated processes (such as video transcoding or text summarization) requested by you.
We do not sell, rent, or trade your Account Data or Case Data to third parties for advertising purposes.
Casewyze utilizes Artificial Intelligence (AI) to provide features such as automated case summaries, audio transcription, and data parsing.
No Public Training: We generally utilize "zero-retention" policies with our AI partners for enterprise data. Your Case Data is not used to train public-facing AI models (like ChatGPT) for the general public.
Processing: When you utilize an AI feature, the relevant data is encrypted and sent to our secure AI processing environment solely to generate the output, after which the raw input is discarded from the processor's memory (subject to the specific sub-processor’s retention policies, which are strictly limited).
We employ defense-in-depth security measures to protect your data:
Encryption: All data is encrypted in transit (via TLS/SSL) and at rest (using AES-256 standard encryption).
Access Controls: Access to Case Data is restricted to the specific User Roles defined by the Subscriber. Casewyze employees do not access Case Data unless explicitly authorized by you for support purposes or required by law.
Infrastructure: Our servers are hosted in secure, SOC2-compliant data centers.
Note: No digital transmission is 100% secure. You are responsible for maintaining the strength and confidentiality of your password and enabling Multi-Factor Authentication (MFA).
Active Accounts: We retain data for as long as your account is active to provide the Services.
Deleted Accounts: Upon cancellation, you have a grace period (typically 30 days) to export your Case Data. After this period, Casewyze may permanently delete Case Data from our production servers. Logs and financial records may be kept longer for tax and legal compliance.
We only share data in the following limited circumstances:
Service Providers (Sub-processors): We work with trusted third parties to provide hosting, payment processing, email delivery, and AI services. They are contractually bound to protect your data and only use it to provide services to Casewyze.
Legal Requirements: We may disclose data if required by a valid subpoena, court order, or search warrant. However, given the sensitive nature of legal and investigative work, Casewyze will attempt to notify you of any such request prior to disclosure, to give you an opportunity to seek a protective order, unless we are prohibited by law from doing so.
Business Transfers: If Casewyze is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that deal. You will be notified via email of any change in ownership.
If you are located in the EEA or UK, you are the "Controller" of the Case Data, and Casewyze is the "Processor." regarding your Account Data, you have the right to:
Access the personal data we hold about you.
Correct inaccurate data.
Request deletion of your data (Right to be Forgotten).
Object to processing or request data portability.
